Vacancies/Situations Vacant: 

We currently have 2 vacancies: fully bilingual receptionist / corporate paralegal assistant. Fluent English is essential in both. 

Bilingual Receptionist: 

Duties:

Hospitality forms the core of the receptionist's responsibilities. All the activities and works of a receptionist revolve around welcoming and greeting our customers. Receptionists ensure that customers and people visiting the office are comfortable in getting their queries cleared.  Supply information regarding Gray & Co. and our services tot he general public, suppliers and customers. 

Prerequisites:

Education or Training:  Minimum - high school diploma.

English Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar

bullet

Experience: Experience is not required, but is that the applicant have some office experience.  Knowledge of administrative & clerical procedures would be advantageous.  Knowledge of customer service principles & practices.

Specialised skills & personality traits:  Must demonstrate themselves to hold the values of Ethics, Excellence, Team Work and Success.  Key competencies include: excellent verbal & written communication skills, professional personal presentation; customer service orientation; information management; organisation & planning; attention to detail; initiative; reliability & stress tolerance.

Salary Range:

$450.00 to $575.00

General Job Description:

The general responsibilities include:

bulletreceive payment and assist accounting in recording receipts for services
bullethear and resolve complaints (where applicable)

bulletprepare letters and documents
bulletreceive and sort mail and deliveries
bulletschedule appointments
bulletmaintain appointment diary electronically
bulletorganize meetings
bullettidy and maintain the reception area
bulletadministrative duties which may be delegated: order office supplies, assist with inventory of office & kitchen supplies
bulletorganise delivery of documents by messengers/pasantes 
bulletPerform administrative support tasks such as proofreading, transcribing handwritten information, and operating calculators or computers to work with pay records, invoices, balance sheets and other documents
bulletRequest quotes for products and services
bulletMaintain logs of computer services & other providers 
bulletPerform duties such as taking care of plants and straightening magazines to maintain lobby or reception area.

Corporate Paralegal Assistant: 

Duties: 

Preparation of Public Deeds (escritura pública) for the incorporation of companies and private interest foundations, preparation of all documents including minutes, share certificate, and corporate records; completion of tax forms to register the Company and submission to the tax department; application for NIT online, getting Certificates of Good Standing with translations to English, corporate searches and administrative processes, including application of commercial licenses, etc.  Preparation of corporate packages to apply for account openings with banks locally and internationally. 

Prerequisites:

Education or Training:  Should be in law school - preference will be given to a 2nd to fourth year law student 

bullet

Experience: Experience is not required, but is preferable that the applicant have experience as a pasante or legal secretary in a law firm.

Specialised skills & personality traits:  Must demonstrate themselves to hold the values of Ethics, Excellence, Team Work and Success; must be an avid reader and able to read and comprehend legal documents; good written and verbal communication skills; excellent research and organizational skills.

Computer Skils: Must master Word, Excel, Outlook, E-tax and will be expected to use and master other programs used by the Tax Department, Public Registry or in-house for database storage. 

Salary range: 

$500.00 - $700.00 / month according to proven experience and track record. 

Use of time/Productivity:

You will be expected to register your time spent on each client matter, and your productivity will be measured according to billable hours.  You will be expected to meet certain daily/weekly/monthly productivity goals. 

General Job Description:

A paralegal assistant does research on legal issues and performs general background work under the supervision of a lawyer.  They are not licensed to practice law, cannot give legal advice or represent a client, but they will be expected to assist the lawyer in the above.  A paralegal assistant is delegated work from the lawyer, which may include contacting the client with quotes for the work to be done (once approved by the lawyer), billing and collections of completed work, and ensuring that the supervising lawyer reaches the expected levels of work output.  You may be required to:

conduct client interviews & maintain general contact with clients

bullet

conduct investigations & documentary research 

bullet

conduct legal research (gacetas & other law publications, journals & news, judicial decisions) 

bullet

drafting legal documents & correspondence 

bullet

attending banks and other institutions

bullet

manage the application process for different licenses and regulatory permits 

bullet

assist in collection of internal records

bullet

maintain the database of information, updating with relevant changes 

Typical documents which you may be expected to assist with:  articles of incorporation, foundation charter, bylaws and regulations, resolutions and minutes of meetings, public deeds, requesting tax registration as local company or offshore company, preparing bank account applications, assistance of the client with wire transfers and other requests to the banks, customer service of clients who have difficulty communicating with the banks; affidavits, changes of board of directors and/or foundation council, applications to MICI, City Council, and the such-like.  

You will also be expected to assist with organising payments of corporate taxes, organising and indexing files, and general administrative work following delivery of documents to clients to ensure that all threads are fully tied up.
